In today’s fast-moving hiring ecosystem, structured job data is invaluable. From defining responsibilities to planning team structures, companies rely on accurate role documentation to scale efficiently. As Atta Ur Rahman Virtual-Assistant, I recently collaborated on a major project that involved building a comprehensive, company-specific job database with more than 500 roles across multiple industries. This blog post breaks down how I contributed to that success.
Background: The Client’s Challenge
My client needed a deeply researched and professionally structured job role database to help their end client with talent strategy and HR planning. The dataset had to span across industries like:
-
IT & Software
-
Finance
-
Marketing
-
Engineering
-
Business Consulting
-
Customer Support / Success
Each job title had to be clearly mapped with relevant details like company name, industry, seniority level, area of interest, required skills, responsibilities, and estimated number of team members.
My Role as a Virtual-Assistant
As a dedicated professional supporting business operations, my contribution was end-to-end. Here’s how I approached the project:
-
Job Role Structuring
I started by identifying job titles within six core functional areas: Engineering/Product, HR, Sales, Marketing, Customer Support, and Finance. These were then mapped across three seniority levels—Junior, Managerial, and Executive—for each industry. -
Company-Specific Research
I gathered and organized job roles from leading companies such as Meta, GitLab, Salesforce, Atlassian, Canva, Deliveroo, Wise, Xero, and others. I ensured each job reflected the company’s scope, team size, and domain-specific expectations. -
Skill & Responsibility Definition
Each role entry included up to 15 essential skills and 8–10 responsibilities, crafted based on real industry trends and the company’s operational focus. -
Team Size Estimation
For accurate workforce planning, I provided estimated team sizes for each job based on role scope and typical company structure. -
Final Delivery
The complete database was presented in structured tables, cleanly categorized for easy reference and future integration into HR tools or recruitment platforms.
What This Project Proved
This project wasn’t just about data entry—it showcased the power of smart virtual support. I brought together research, HR insight, and formatting precision to help the client deliver a highly valuable asset to their end users. It highlighted my ability to:
-
Handle complex datasets
-
Customize deliverables to industry-specific needs
-
Offer backend strategic support to HR teams and startup founders
